Virtual Receptionist Australia: How to Choose

A virtual receptionist answers your business calls remotely, using instructions you provide. Depending on the service, that can mean taking a message, answering a routine question, connecting a caller to your team or arranging a booking.

For an Australian small business, the useful question is what should happen when you cannot answer. A sole trader who wants complete quote enquiries needs a different service from a brokerage that needs sensitive calls passed to an authorised staff member.

This guide explains the service models and gives you a practical brief to take into a demonstration. If your main concern is the bill, Wattle's existing AI answering service cost guide covers the separate pricing question.

What is a virtual receptionist?

A virtual receptionist provides a front desk over the phone without sitting in your office. A human service uses remote reception staff. An AI service uses a conversational system configured around your business. A hybrid service combines automation with human answering or escalation.

The label alone does not tell you what is included. For example, OfficeHQ's service FAQs distinguish basic message-taking from services that can transfer calls and provide business information. Ask any provider which tasks your proposed plan actually supports.

Virtual reception is also different from a virtual office. Answering your calls does not automatically provide a business address, mail handling or meeting rooms.

Choose the model around your calls

Human reception for conversations that need judgement

Consider a human answering service when callers frequently need reassurance, describe unusual situations or struggle to explain what they want. During a demonstration, ask the receptionist to handle an interruption, a correction and a request outside the script.

Find out whether the staff member can resolve the enquiry or will take a message for you to complete later. Either can be useful, but they are different outcomes.

AI reception for a clearly defined first response

An AI receptionist is worth assessing when many calls follow repeatable patterns: opening hours, service areas, new enquiries and basic booking questions. Give it approved answers and a clear stopping point whenever a request needs your team's judgement.

Test ambiguous requests as well as easy ones. Ask the same question in different ways, change a detail halfway through and request a person. A polished opening greeting does not prove that the rest of the conversation works.

Hybrid reception when the handoff matters

A hybrid arrangement can combine routine handling with a person for exceptions. Check who that person is. A transfer to your own mobile is different from access to a staffed answering team, especially when you are unavailable.

Ask what happens if the first transfer fails. There should be an agreed next step rather than an endless loop between your line and the receptionist.

Define when your existing number should divert

You may want to answer the phone yourself first, divert only while busy, or send all calls to the service during a defined period. Your phone system and carrier determine the available options.

Telstra's mobile forwarding guidance describes separate settings for all calls, unanswered calls, busy calls and an unreachable phone. Confirm the equivalent settings and any charges with your own provider before changing the number.

Write down the intended experience: how long your phone rings, when the receptionist takes over and where an unresolved enquiry goes. Then test the complete journey from another phone.

Prepare a one-page receptionist brief

Give shortlisted providers the same brief so their demonstrations are comparable:

  • Your business name, pronunciation, opening hours and service area.
  • The three most common reasons people call.
  • The details needed to act on each enquiry.
  • Answers the receptionist is allowed to give.
  • Topics that must go to a person.
  • The person or team responsible for each handoff.
  • What to tell a caller when nobody is available.

Include examples of a successful outcome. For a quote enquiry, that might be a confirmed callback number, job description and suburb. For an existing customer, it might be a message assigned to the correct team without exposing their account details.

Avoid giving the service a promise your business cannot keep, such as an immediate callback throughout the weekend.

Ask specific questions about Australian coverage and data

Ask where calls are answered during the day, overnight and at peak demand. Also ask how the provider handles Australian place names, callers in different time zones and requests to speak to a person. A local business address does not answer all of those questions.

If you are evaluating AI, examine how caller information moves through the service. The OAIC's guidance on commercially available AI products recommends considering privacy obligations when selecting and using AI. Ask about retention, access, training use and how your collection notice describes the arrangement.

What to test before committing

Use five calls based on your actual business:

  1. A straightforward new enquiry.
  2. A caller who changes their phone number or other detail.
  3. A request outside your service area or scope.
  4. A caller who wants a person immediately.
  5. An enquiry arriving when your team is closed.

Check the resulting message as well as the conversation. Can the responsible person act on it without calling back solely to repeat the intake questions?

Wattle's published receptionist features include answering, configurable questions and human handoffs. The right configuration and plan depend on the tasks you want completed. Request a demonstration using your own call examples rather than a generic script.

Common questions

Can I keep my current business number?

Call diversion may let you keep the number callers already know. Confirm compatibility with your carrier or phone-system administrator. Porting, forwarding and receiving a new number are different arrangements.

Is an Australian virtual receptionist always a human?

No. The term is used for human, AI and hybrid services. Ask who answers, which tasks are automated and who receives an escalation.

Should I buy daytime or after-hours coverage first?

Start with the period where your current process breaks down. For evening and weekend enquiries, use the after-hours answering setup guide to define coverage and follow-up before comparing providers.
